## The Phone Is Still Where Deals Move

In many SMB sales teams, the phone carries a big share of the work: prospecting calls, follow-ups after a quote, inbound requests from an ad or the website. Yet it is often the least measured part of the sales process. The CRM shows the pipeline. The phone system knows what actually happened, and that information rarely reaches the sales manager.

This article covers five things worth measuring, and how to do it with the data your 3CX or Yeastar PBX already records.

## 1. Outbound Activity, and When Prospects Pick Up

The first question is volume: how many outbound calls did the team make this week, and how many of them connected?

[Expert Statistics](/en/products/expert-statistics) counts the outbound calls of the whole phone system, the connected calls (the person picked up, voicemail included), the connection rate and the talk time. You can break it down by day, week, month, hour of the day or day of the week.

That last breakdown is the useful one for prospecting. If your connection rate is clearly better at certain hours, block those slots for calling sessions and keep admin work for the rest of the day. The data comes from your own calls to your own market, which beats any generic advice about the best time to call.

## 2. Activity per Salesperson

Team totals are not enough to run one-to-ones. Expert Statistics also reports the calls handled by each agent: outbound calls answered and talk time, plus their inbound calls (answered, unanswered, answer rate).

Use these figures as context, not as a ranking. A salesperson with fewer, longer calls may be working larger accounts. The numbers are there to start the conversation, and the call content (section 5) tells you the rest.

## 3. Campaign and Sales Numbers: Calls and Reasons

If you put a dedicated number on an ad, a mailing or a landing page, each call to that number is a lead you can measure. Expert Statistics reports the performance of each company number (DID): calls received, answered, abandoned in a queue, answer rate and talk time.

That answers *"how many calls did our ad number get?"*. [Insights AI](/en/products/insights-ai) answers the next question: *why did they call?* Each analysed call gets a summary, a reason for call and the subjects you defined (for example `Sales > Quote request` or `Sales > Pricing question`). For a campaign, that is the difference between "it generated calls" and "it generated quote requests for the right product".

## 4. Missed Inbound Sales Calls

A prospect who calls your sales line and gets no answer often calls a competitor next. Those calls deserve their own follow-up.

With Expert Statistics, the assistant can list the unanswered calls on a queue or a company number, with each call's route through the PBX (queue, IVR, voicemail…). It can also look up the history of a given number, so you know whether that prospect called again and was answered, or still needs a call back.

A simple routine: every morning, list yesterday's missed calls on the sales line and check that each one was called back.

## 5. What Happens During the Calls

Activity figures say how much the team called. They say nothing about how the calls went. Insights AI transcribes the recorded calls, names the speakers and computes speech indicators for each one:

- **Speech ratio**: the share of the conversation taken by the salesperson versus the prospect
- **Questions asked** by the salesperson
- **Longest monologue**: how long the salesperson spoke without interruption
- **Speech rate**, in words per minute
- **First call resolution**: whether the request was settled without a follow-up call

These indicators work well for discovery calls. A salesperson who talks most of the time, asks few questions and delivers long monologues is probably pitching before understanding the need. Add an audit grid with your own criteria (qualification of the need, handling of objections, clear next step agreed…) and the AI scores every analysed call with a justification for each criterion.

## Questions to Ask the Assistant

- *How many outbound calls did we make last month, and at what time of day do we connect best?*
- *How many outbound calls did each salesperson make last week, and with how much talk time?*
- *How many calls did our ad number get this month, and why did people call?*
- *List yesterday's missed calls on the sales queue. Did any of those callers call back?*
- *Compare Bob's speech ratio and questions asked with the rest of the team.*
- *Which audit criteria do my salespeople score worst on during discovery calls, and why?*

## Make Sure Every Call Lands in the CRM

All of the above helps the manager. Your CRM needs the calls too, and salespeople under pressure rarely log every one of them.
